Introduction
MemoZen ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application MemoZen (the "App").
Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the application.
1. Information We Collect
1.1 Personal Information
When you use MemoZen, we may collect the following personal information:
- Account Information: Email address, name, and profile picture when you sign in using Google Sign-In or create an account
- User ID: A unique identifier for your account
1.2 Audio and Voice Data
- Voice Recordings: Audio files you create when recording voice notes
- Transcriptions: Text transcriptions of your audio recordings, generated on our own servers
- AI-Generated Content: Summaries, titles, keywords, and mood analysis generated from your transcribed text. This analysis is performed via OpenRouter, a third-party AI routing service. Only the transcribed text (not audio) is sent to OpenRouter for processing. See Section 8.1 for details.
1.3 Usage Information
- App Usage: Information about how you interact with the App, including features used and time spent
- Device Information: Device type, operating system, unique device identifiers
- Technical Data: IP address, browser type, and technical details necessary for app functionality
1.4 Subscription Information
- Purchase Data: Subscription tier, payment status, and transaction history managed through RevenueCat
- Note: Payment card details are processed by Apple App Store or Google Play Store and are not collected or stored by us
2. How We Use Your Information
We use the collected information for the following purposes:

- Provide voice note recording capabilities
- Transcribe your audio recordings using AI
- Generate summaries, titles, and keywords for your notes
- Synchronize your data across your devices
- Playback and manage your voice notes
- Allow you to delete individual notes and associated audio files at any time

3. How We Share Your Information
We do not sell your personal information. We may share your information with:
3.1 Service Providers
We use the following third-party services to provide our functionality:
- OpenRouter: AI routing service used to generate summaries, titles, keywords, and mood analysis from your transcribed text. Only the text transcription is sent to OpenRouter — your original audio recordings are never shared. OpenRouter processes data in accordance with their privacy policy.
- RevenueCat: Subscription and payment management
- Google: For Google Sign-In authentication services
- Apple: For Sign in with Apple authentication services
Audio transcription is performed entirely on our own servers. Your voice recordings are not shared with any third party.
3.2 Legal Requirements
We may disclose your information if required by law or in response to valid requests by public authorities.
3.3 Business Transfers
If we are involved in a merger, acquisition, or asset sale, your information may be transferred. We will provide notice before your information is transferred and becomes subject to a different Privacy Policy.
4. Data Storage and Security
4.1 Data Location
Your data is stored on our own secure self-hosted servers hosted on Hetzner infrastructure. Audio files and transcriptions are stored on our own servers. Transcribed text is sent to OpenRouter solely for the purpose of generating note analysis (summaries, titles, keywords, mood).
4.2 Security Measures
We implement appropriate technical and organizational measures to protect your personal information, including:
- Encryption of data in transit and at rest
- Secure authentication mechanisms
- Regular security assessments
- Access controls and monitoring
However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
5. Your Rights and Choices
5.1 Access and Control
You have the right to:
- Access your personal information
- Correct inaccurate data
- Delete your account and associated data
- Export your voice notes and transcriptions
- Opt-out of non-essential communications
5.2 Data Deletion
Individual Notes Deletion
You have full control over your data and can delete individual notes at any time:
- Delete any voice note directly from the App
- When you delete a note, the associated audio file and transcription are permanently removed
- Deleted notes cannot be recovered
Account Deletion
You can delete your account and all associated data by:
- Using the "Delete Account" option in the Settings screen of the App
- Or contacting us at memozenapp@gmail.com
Once deleted, your data cannot be recovered.
6. Children's Privacy
MemoZen is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete that information as quickly as possible.
7. International Data Transfers
Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that are different from the laws of your country.
8. Third-Party Services
8.1 AI Processing
Audio transcription: Your voice recordings are transcribed entirely on our own servers. No audio files are sent to any third party.
Text analysis: After transcription, the text of your notes is sent to OpenRouter (a third-party AI routing service) to generate summaries, titles, keywords, and mood analysis. Only the transcribed text is shared — never your original audio recordings or personal account information. By using the App, you consent to this data processing. Please refer to OpenRouter's Privacy Policy for information about their data practices.
8.2 Authentication
When you use Google Sign-In or Sign in with Apple, your authentication is handled by Google or Apple respectively. Please refer to their Privacy Policies for information about their data practices.
8.3 Payment Processing
In-app purchases are processed by Apple App Store or Google Play Store. We receive only subscription status information from RevenueCat and do not have access to your payment card details.
9. Permissions
The App requests the following permissions:
- Microphone: To record voice notes
- Internet: To sync your data and process voice recordings on our servers
- Notifications: To alert you about note processing status
- Storage: To save and access your voice recordings locally (optional)
- Foreground Service: To continue recording in the background
10. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you services.
Important: We do not automatically delete your voice notes or audio files. You maintain full control and can delete individual notes manually at any time through the App. When you delete your account, we will delete all your personal information within 30 days, except where we are required to retain it for legal purposes.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by:
- Posting the new Privacy Policy in the App
- Updating the "Last Updated" date at the top of this Privacy Policy
- Sending you a notification (for material changes)
Your continued use of the App after any changes constitutes acceptance of the new Privacy Policy.
13. Additional Information for EU/EEA Users
If you are located in the European Economic Area (EEA), you have additional rights under the General Data Protection Regulation (GDPR):
- Right to data portability
- Right to object to processing
- Right to lodge a complaint with a supervisory authority
